Approval - projects and publishing

We have just released a new and improved module for approving projects and publishing. This module has multiple possibilities for setting up different procedures of approval in Emply Hire, to enable an easy rapid implementation. 

The approval module can be customized and set up on basis of i.e. project data, media and other available data.
The tab Requests has been renamed Approval and is only visible to users with license to approving a project or a publishing.  


Creating an approval rule

1. Go to Approval in the Setup menu

2. Click on "New Approval Rule"

3. Chose between Projects or Publishing

 

Project approval

 

Description: Choose a title or a small description of the approval rule.

Criterias: Here you enter criterias for, which projects will be included by this rule, i.e. on basis of project data or a department. If no criteria is chosen, the rule includes all new projects.

Approval Steps: Choose a title for this step. Then choose users to have license to approve a project on this step.
It is possible to increase security by choosing more users to approve a project on a specific step, before the project proceeds in the approval process or is ultimately approved.
If you have more steps in an approval process, the project automatically proceeds in the process when the project is approved in the previous step.

At least one approval step must be created.

Click the message icon  for each approval step, to create a notification or message to automatically be sent to users to notify, when a project is awaiting approval.

 

Activate "Message" if you wish to notify the users about approval of a projekt by mail. 
It is also possible to notify the users simply by a notification in the system.


Design: Choose a mail design for this message.

Subject: Choose a titel for this mail.

Receivers: Choose the users to receive this mail. It is possible to enter an extern mail address to a receiver, who is not necessarily a user in the system. 

Text:  Enter the information to be sent to the users. Remember to insert [approval_link] for the system to automatically guide you to the approval tab.


Publishing approval


Description: Choose a title or a small description of the approval rule.

Criterias: Here you enter criterias for, which media will be included by this rule, i.e. on basis of a media or a department. If no criteria is chosen, the rule includes all media in new projects.

Approval Steps: Choose a title for this step. Then choose users to have license to approve the different media, to which the project has been published. 
It is possible to increase security by choosing more users to approve the media, before the project proceeds in the approval process or is ultimately approved.
If you have more steps in an approval process, the project automatically proceeds in the process when the media are approved in the previous step.

At least one approval step must be created.

When approving a project.....

The user creating the project must forward the project for approval, when the project is ready. 
The user will automatically be guided to the Approval tab on the project, when published to the chosen media.  
On this tab he user can always follow the status of the approval process.

When the project is approved, the user will automatically be notified.


If the user, after the project is approved, changes or alter something on the tap Setup or Ads, the alteration will be send for approval, and not until the alteration is approved will the project be updated. 


Please note: If there is only an approval process regarding publishing, the user will not see the above, and can update the ad without a re-approval. The media will automatically be sent for approval, when accordingly published.
