Simplify the recruitment process with task lists

Now it is possible to simplify the recruitment processes with our new module with task lists.

In the Emply solution you have the possibility to create task lists, associated to each recruitment, as they are created. The task list enables a great overview of your progress in the recruitment process, and is a great help in remembering the different tasks, connected to the recruitment.

The tasks in the list will automatically be assigned to the relevant person in each case of recruitment. E.g. the hiring manager will automatically be assigned to a task, indicating that the  handling of applicants must be commenced.

In other words, the task lists help handling the recruitment from the start, on to hiring a candidate and terminating the project. 

 

Start using task lists 

Creating a task list

1. Enter Task lists in the main menu, setup

2. Click "New task list" and indicate a title

Task
Title: Chose a title for the task

Responsible: Chose who is going to be responsible for the task. It is possible to chose a specific user or Project Manager or other user selector possibilities from project data.

Due date: Chose a due date, in case the responsible person can only have a specific number of days for this task.

Reminder: Chose reminder, if the responsible person shall receive at reminder before the due date

Description: Ad a description to the tast, if the task need further explanation 

Trigger
Assign (date): Chose when the tast is to be assigned to the responsible.

After execution of: Chose when the tast shall be trigged, i.e. which tast is to be executed before this task is assigned.
Is it the first tast, you can chose between "Project erected/approved" or "Application deadline"

Notification
Chose when the system shall send a notification by mail to the responsible. Chose between immediately, within 24 hours or not at all.

It is also possible to attach messages, to be send when a tast is assigned. This function can a.o be used to send further informations about the task to the responsible.

5. Click on "New message"

Layout: Chose the e-mail layout to be used.

Subject: Chose a text for the subject field in the message.

Received: Chose the receivers of this message. You can chose a specific user or project manager, or other user selector possibilities from project data. Furthermore you can add an external mail receiver, if the message also shall be send to a mailadress, not connected to a user in the Emply solution.

Text: Add the message text. 

Predefined data: Add dynamic data fields in the text field, if you have data to be merged automatically in the message when sending.

Trigger
Assign (Date): Chose when the task shall be assigned to the responsible. 

After execution of: Chose when the tast shall be trigged, a.e. which task is to be executed before this tast shall be assigned.
Is it the first tast, you can chose between "Project erected/approved" or "Application deadline"


6. The tast list is now created. Chose if it shall be mandatory to add one of the created task lists whenever a project is created.

Pls.note, it is also possible to add an access on the task list, so it can only be chosen by selected users.

 

Add a task list to a project

1. Chose the required task list on the Setup tab.

2. Under the tab "Tasks" you will now find all current and coming tasks

When the task "Start the managing of candidates" is completed, the next task will automatically be assigned to the responsible.
