Create/edit Benefits

In the following article, you can read about how to create and edit benefits in Emply. 

Benefits can be setup as benefits, supplements & deductions, pension schemes and hourly salary rates.

In the bottom of this article you will find a FAQ about Benefits and/or you read our guide on How to get started with Benefits?:

 1. In the main menu click on Settings > Templates > Employees > Benefits

Note that the main menu may vary depending on the user role and which modules you have available.

2. Click on '+ New Group'

A group consist of employees who have similar settings for benefits, supplements & deductions, pension schemes and hourly salary rates.

In the pop-up screen, there are 6 tabs: Basic info, Benefits, Supplements & Deductions, Pension scheme, Hourly salary rates and Access.
It is mandatory to always fill out 'Title' under Basic info.

 

2.1 Basic info

Title: Choose a title for the group. 

Internal description: Enter a description for internal use. This is optional.

 

NOTE: As you can see at the top of the pop up, you will be able to create the benefits in different languages, if your environment supports multiple languages.

 

2.2 Benefits

Here you set up conditions for new benefit by clicking on '+ [add_item]'

Benefit: Name of the benefit.

Default description: Enter a description for internal use. This is optional.

  • Lock default description: when enabled the description can not be changed on the employee Master Data.

Default amount per month: Benefit amount.
The amount should always be a positive value.

  • Lock default amount per month: when enabled the amount can not be changed on the employee Master Data.

 

2.3 Supplements & Deductions

Here you set up conditions for supplements & deductions by clicking on '+ [add_item]'

Type: Name of the Supplement/Deduction.

Default description: Enter a description for internal use. This is optional.

  • Lock default description: when enabled the description can not be changed on the employee Master Data.

Default units: quantity per unit. E.g. if Default amount per unit is 100 and Default units is 2, then the full amount will be 200 (2*100=200).

  • Lock amount per units: when enabled the amount can not be changed on the employee Master Data.

Default amount per unit: Choose a currency and amount.
The amount should always be a positive value.

  • Lock default amount per month: when enabled the amount can not be changed on the employee Master Data.

Default interval: Choose if this Supplement/Deduction is used one time, monthly, quarterly, half yearly or yearly.

  • Lock default interval: when enabled the interval can not be changed on the employee Master Data.

 

2.4 Pension scheme

Here you set up conditions for pension scheme by clicking on '+ [add_item]'

Pension fund: Name on the pension fund.

Default description: Enter a description for internal use. This is optional.

  • Lock default description: when enabled the description can not be changed on the employee Master Data.

Default payment type: You need to choose either 'Amount per payroll period' or 'Percentage of the holiday entitled salary'.

  • Lock default payment type: when enabled the payment type can not be changed on the employee Master Data.

Default personal contribution: Choose a currency and amount.

  • Lock default personal contribution: when enabled the personal contribution can not be changed on the employee Master Data.

Default company contribution: Choose a currency and amount.

  • Lock default company contribution: when enabled the company contribution can not be changed on the employee Master Data.

 

2.5 Hourly salary rates

Here you set up conditions for hourly salary rates by clicking on '+ [add_item]'

Type: write a name of the benefit.

Default description: Enter a description for internal use. This is optional.

  • Lock default description: when enabled the description can not be changed on the employee Master Data.

Default number of hours: designated quantity of hours.

  • Lock default number of hours: when enabled the hours can not be changed on the employee Master Data.

Default hourly salary rate: Choose a currency and the hourly benefit.

  • Lock default hourly salary rate: when enabled the salary rate can not be changed on the employee Master Data.

 

2.6 Access

In this tab, select which roles should be able to see this information on the profile.

FAQ

Why can't I save the template?

In case it does not save then please check that 'Title' under Basic info is filled out. It is mandatory.

When should I use Benefit items?

Benefit items are used if the item is paid by the company i.e. Free phone. If the item is paid by the employee then we would advise to use Deduction items.

When should I use Deduction items?

Deduction items are used if the item is paid by the employee itself i.e. Lunch. If the item is paid by the company then we would advise to use Benefits.

Should deductions be added with a negative value?

No, the value/amount in Emply should always be with the positive value as it will be the payroll provider that distinguish between supplements and deductions based on the specified pay type.

How do I allocate the Benefit group to an employee?

Can I fill in Benefits from a form?

Yes, but only the first time. This works similar to creating the employment the first time on an employee from a form.

You can insert the default Benefit table together with the Benefit group on any form you like. We would not advise to insert the Benefit table on Master data as the table is only used until the Employment and benefits are created on your new employee, hereafter all changes must be done from the Benefit widget:

How do I add Benefits on an employee?
